Why lease abstraction takes hours per lease

Every landlord and law firm drafts its own lease, and the terms that matter sit in different clauses, addenda and amendments. Analysts read each one end to end and key rent and dates by hand.

Lease signed

Signed PDF lands in a shared drive.

Full read

Analyst reads every clause and addendum.

Friction

Key terms hide in addenda.

Manual abstract

Rent, dates and options typed in.

Friction

Notice dates are easy to miss.

Rent roll check

Friction

Gaps found at renewal time.

RESULT

[X] hours to abstract each lease by hand, and [X]% of notice dates missed or entered wrong.

Fields come from a data schema you define in minutes. Dates come back in ISO 8601, rent and deposits as numbers, each field with a confidence score.

Built for real leases, not clean templates

Thirty-page scanned leases, pet addenda stapled to the back, rent changes in a later amendment. The model reads the whole file and finds each term wherever the drafter put it.

Residential and commercial leases from six countries mapped by Mindee to one lease schema

Any lease, any template

Residential or commercial, US, UK, French or German leases: every one comes back in one schema you define, with no template per landlord.

Lease clauses turned into a critical dates timeline with start, notice deadline, end and renewal

Every critical date, abstracted

Start and end dates, rent increases, renewal options and notice periods come back as dates and numbers, ready for your critical-date calendar.

Lease file PDF split and classified into the lease, two addenda and an amendment

Lease, addenda and amendments split

A lease file often bundles the lease, its addenda and later amendments. Mindee splits the file and classifies each part before extraction.

Lease terms checked against the rent roll and a rent check, with an end date mismatch flagged

Leases matched to the rent roll

Rent, deposit and end date come back as values, so each lease can be checked against your rent roll and payments without rereading it.

About lease agreement OCR À propos de l’OCR pour les lease agreement

What is a lease agreement?

A lease agreement is a contract in which the owner of a property, the lessor or landlord, grants another party, the lessee or tenant, the right to use it for a set period in exchange for rent. It typically specifies the parties, the property, the start and end dates, the rent and payment schedule, the security deposit, rent increases, renewal and termination options, and who pays which costs. Leases cover homes, offices, retail spaces and warehouses, as well as equipment and vehicles. Mindee extracts these key terms from residential and commercial leases and returns them as structured JSON.

What is lease abstraction?

Lease abstraction is the process of summarizing the key data of a lease into a standard format, often called a lease abstract. It usually covers the parties, the premises, critical dates (commencement, expiry, renewal and break options, notice deadlines), rent and escalations, expense responsibilities and specific clauses. Property managers, corporate real estate teams, investors and lenders rely on it to manage portfolios and carry out due diligence. Done manually, abstracting a single commercial lease can take hours. Mindee automates this extraction, with a confidence score and the location in the document for each field, so your team only needs to review the results.

Can Mindee tell a triple net lease from a gross lease?

In a triple net (NNN) lease, the tenant pays base rent plus its share of property taxes, insurance and maintenance. In a gross lease, the landlord covers these costs and charges a single, all-inclusive rent, and a modified gross lease splits them between both parties. The lease type determines how much a tenant really pays and how operating costs are recovered each year. Mindee extracts the clauses that define who pays for taxes, insurance, maintenance and common area costs, so you can identify the lease structure and calculate the true cost of each lease across your portfolio.

How does lease data support IFRS 16 and ASC 842 accounting?

Under IFRS 16 and ASC 842, companies must recognize most of their leases on the balance sheet as a right-of-use asset and a lease liability. Calculating these amounts requires precise data from each lease: the commencement date, the lease term, including renewal or termination options, the payment schedule, rent escalations and any incentives. For companies with hundreds of leases, collecting this data is a major effort, and errors directly affect the financial statements. Mindee extracts these inputs from each lease, so your finance team can feed its lease accounting software without retyping every contract.

About Mindee

Is my data secured and protected during the conversion process?

Yes, your data is highly secured and protected during the entire conversion process. As an enterprise-grade OCR solution, Mindee takes data privacy very seriously. Here are the key security measures in place:

  • Certified compliance: Mindee's infrastructure is SOC 2 Type II certified and fully GDPR compliant, ensuring strict industry standards for data protection.
  • Encryption: All documents and extracted data are fully encrypted both in transit (during the API call) and at rest.
  • Data localization: You have control over where your data is processed, with the option to host and process your data on either EU or US servers.
  • Strict privacy: Mindee respects data confidentiality. Your processed documents are not shared with third parties, and your private data is not used to train global AI models.

In short, your sensitive documents are processed in a secure, isolated environment and remain completely under your control.

Is Mindee's OCR API free to use?

We provide a 14 days free trial so you can fully test any of our OCR models — no credit card required. After this, we offer different pricing tiers depending of the volume of pages processed and the features you might need. See the pricing page for more information.

What file formats are supported for JSON conversion?

The supported document formats are:

  • PDF (application/pdf) – While technically a document format rather than an image, it is natively supported for all extraction models.
  • JPEG / JPG (image/jpeg)
  • PNG (image/png) – Must be non-animated.
  • WebP (image/webp)
  • TIFF / TIF (image/tiff) – Both single-page and multi-page TIFFs are supported and processed similarly to PDFs.
  • HEIC (image/heic) – Apple's High-Efficiency Image Container format.

‍

📌 Important technical limitations to keep in mind:

To ensure the OCR pipeline runs smoothly and successfully returns your JSON, make sure your files adhere to the following constraints:

  • Maximum file size: 100 MB per file.
  • Maximum page count: Up to 200 pages per document.
  • File state: The files cannot be encrypted, and PDFs must not be password-protected.
