The hidden cost of manual tenant screening
Every rental file checked by hand adds a delay. A missing payslip, a stack of applications waiting for review, an income that doesn’t match the tax return: each step keeps the property empty and gives the best applicants time to rent elsewhere.

About Mindee
What is tenant screening?
Tenant screening is the process landlords and property managers use to evaluate rental applicants before signing a lease. It usually includes verifying the applicant’s identity, checking income and employment, reviewing rental history, and, depending on local rules, running credit and background checks through specialized providers. The document part is often the most manual: applicants send IDs, pay stubs, bank statements and other documents in every format. Mindee extracts the key data from these documents automatically, so your team can review complete, structured applications instead of opening and retyping attachments.
How do landlords verify that an applicant earns 3 times the rent?
The “3 times the rent” rule means the applicant’s gross monthly income should be at least three times the monthly rent. For example, a $1,500 rent requires at least $4,500 in gross monthly income. To check this, landlords usually ask for recent pay stubs, bank statements or an offer letter. Mindee extracts the gross pay, pay frequency and YTD earnings from pay stubs, as well as salary deposits from bank statements, so the monthly income can be calculated automatically, even for weekly or biweekly pay. Applying the same calculation to every applicant also makes your screening more consistent, which helps with fair housing compliance.
How long does tenant screening take, and how can you speed it up?
Tenant screening often takes from one to a few days, but it can take longer when documents are missing, unreadable or need to be checked manually. In competitive rental markets, every day of delay can mean losing a good applicant to another property. With Mindee, documents are processed in seconds as soon as they are uploaded, incomplete applications are flagged immediately so applicants can send what’s missing right away, and complete files are ready for review with all the key data already extracted.
How can you detect fake pay stubs in rental applications?
Fake or edited pay stubs are one of the most common types of rental application fraud, as generating them online has become easy. Mindee is not a forensic fraud detection tool, but structured data makes the key checks automatic. You can check that the applicant’s name matches the ID, that net pay matches the salary deposits on the bank statement, that YTD earnings are consistent with the pay date and pay frequency, and that gross pay minus deductions equals net pay. Applications that pass these checks move quickly, and those with inconsistencies are flagged for review before a lease is signed.
